Phase 2 - Instructions

STOP:  If you have not already done so, please read the instructions from "phase 1".  This will help explain some of the terms we will use, like "short code", as well as the basics of transferring files.

 

Phase 2

The reason for "Phase 2" is that we need to standardize the column names and data being exchanged between client schools and CompeteLA, to make sure our data is accurate.

 

Guidelines

Please review the general guidelines in this file.

They are also stated below:

  1. Column names in the CSV fields will be all lowercase
  2. Separation between words will be with underscores.  Ex:  academic_year
  3. Most abbreviations in column names will not be used.  Ex:  "academic" instead of just "acad"
  4. All dates must be in the format: YYYY-MM-DD.  Ex:  2022-01-15
  5. Empty values should be either blank strings ("") or (,,).  Please do not use the text "null", "blank", or "none", etc.

 

Download File

The CSV file you will download will be located and named: /import_files/student_data_pulled_from_crm.shortcode.v2.csv

Notice the additional .v2 in the filename, as opposed to the filename convention in Phase 1.

Ex:  /import_files/student_data_pulled_from_crm.nicholls.v2.csv

 

Download File CSV Columns

The file you download will contain the following columns (for help with identifying students on your campus):

  1. student_compete_la_id
  2. first_name
  3. last_name
  4. date_of_birth
  5. maiden    (maiden name)
  6. email        (non-school email provided to CompeteLA)
  7. mobile_phone_number
  8. school_email    (if available)
  9. institution_common_id     (ex:  CWID, Student ID, etc)
  10. flat_rate
  11. contact_status

For your convenience, the rest of the file will contain the column header names expected back, but the data will be left intentionally blank.

 

Upload File

Just as in Phase 1, your upload file should be located at and named: /import_files/competela_students.csv

It should replace the file which is already there.

For testing your upload process, please name the test file "competela_students.test.csv".

 

Upload File CSV Columns

The following columns are the only ones expected in the file you upload back to CompeteLA.  Please do not have duplicate column names, nor deviate from the exact names listed below:

  1. compete_la_id
  2. school_email        (should end in your .edu address)
  3. institution_common_id     (ex:  CWID, Student ID, etc)
  4. institution_code_prospect
  5. home_phone      (home or "official" phone number the student gave your institution)
  6. race
  7. gender
  8. date_application_received      (formerly date_app)
  9. decision_date         (formerly date_adm)
    1. This field replaces the "date admitted", and is instead the date that a decision was made to admit the student, or any of the other options described in the "admission_decision" field described below.
  10. date_enrolled        (formerly date_enr)
  11. date_canceled       (formerly date_canc)
  12. date_application_completed         (formerly date_app_comp)
  13. admission_decision
    1. This is a new field, whose values should be one of:  admitted, provisional admittance, admission by exception, denied, admitted for future term
  14. admission_status
    1. Acceptable values are: 
      1. 1 => "First-Time Student"
      2. 2 => "New Graduate Student"
      3. 3 => "Other Student"
      4. 4 => "Transfer"
      5. 5 => "Continuing Student"
      6. 6 => "Re-Admit"
      7. 7 => "New Professional Student"
      8. X => "Visiting"
  15. cip_code                       (please enter as a string of numbers with no decimal point)
  16. full_time_part_time
    1. Accepted values: F, P, full-time, part-time, full, part, fulltime, parttime, full_time, part_time, full time, part time
  17. academic_year          (formerly ACADYR)
  18. academic_term          (formerly ACADTM)
  19. student_level
  20. academic_standing     (formerly A_STANDING)
    1. Accepted values: G, S, P, W
  21. scheduled_credit_hours     (formerly total_student_credit_hours, std_credits_sch, etc)
    1. Enter as a decimal number, if applicable.
  22. current_term_gpa
    1. Enter as a decimal number, if applicable.  Ex:  2.55
  23. cumulative_overall_gpa       (formerly CUMOVERGPA)
    1. Enter as a decimal number, if applicable.  Ex: 2.55
  24. cumulative_hours_earned     (formerly cumhrsearned)
    1. enter as a decimal number, if applicable.
  25. applied_for_graduation         (formerly grad_application)
    1. This is a date in the format YYYY-MM-DD
  26. graduation_year
  27. graduation_year_term    (formerly GRADYrTm)

    1. Accepted values:
      1. DP => "Associate",   // this is Diploma in the state specs

      4. C1 => "Certificate (1-year)"
